Overview

The Inventory module covers multi-warehouse management with complete lot traceability, FIFO/LIFO/CUMP valuation methods, physical stock counts, and automatic alerts on critical stock levels.

Main Features

Inventory Dashboard

Route: /dashboard/inventory

  • Total stock value by warehouse
  • Alerts for out-of-stock or below-threshold items
  • Recent movements (receipts / issues)
  • Stock turnover rate

Warehouses

Route: /dashboard/inventory/warehouses

Receipts

Recording incoming stock:

Issues (Delivery Notes)

Managing stock issues:

  • Destination (work zone, department, site)
  • Items and quantities issued
  • Link to work orders and field operations

Lot Traceability

Each item has full lot tracking:

  • Lot number and entry date
  • Expiry date (for agricultural inputs)
  • Complete movement history
  • Location within the warehouse

Physical Stock Counts

Route: /dashboard/inventory/counts

  1. Create a count session
  2. Assign the zones to be counted
  3. Enter physically counted quantities
  4. The system calculates variances against theoretical stock
  5. Validate and post adjustments

Stock Alerts

Route: /dashboard/inventory/alerts

Configurable alerts per item:

  • Reorder threshold: Alert when stock falls below the minimum
  • Stock-out: Real-time notification
  • Upcoming expiry: Reminder before lot expiration
  • Dormant stock: Items with no movement in the last N days

Commissary

Route: /dashboard/inventory/economat

Management of small office supplies and consumables:

  • Track internal requests
  • Approval by the responsible manager
  • Consumption tracking by department

Stock Valuation

Route: /dashboard/inventory/valuation

Valuation reports:

  • Stock value at a given date
  • Value evolution over time
  • Analysis by item category
  • Accounting export for OHADA integration

How to Use

Recording a Receipt

  1. Go to /dashboard/inventory/receipts
  2. Click + New Receipt
  3. Select the supplier and destination warehouse
  4. Add items with quantity, lot, and price
  5. Confirm the receipt

Conducting a Physical Count

  1. Go to /dashboard/inventory/counts
  2. Create a new count session
  3. Select the warehouses or sections involved
  4. Enter counted quantities item by item
  5. Review the variance report
  6. Validate the adjustments

FAQ

Q: How do I configure alert thresholds per item? From the item sheet, fill in the Minimum threshold field. The system will trigger an alert as soon as stock reaches that level.

Q: Can items be managed in both units and weight? Yes. Each item supports a configurable unit of measure (kg, litre, unit, bag) set at creation.

Q: Are stock issues linked to field operations? Yes. Delivery notes can be linked to an agricultural operation or work order for cost tracking by plot.

Tip

Set reorder thresholds for each critical input (fertilisers, pesticides). Automatic alerts prevent stock-outs during agricultural campaigns.
